Sourcing Service Workflow & Fee Structure

To ensure a transparent, efficient, and mutually beneficial cooperation, here is the detailed breakdown of my service workflow, fee structure, and payment milestones.

As your dedicated sourcing agent in China, my goal is to protect your interests, negotiate the best factory prices, and strictly control product quality.

🛠️ Detailed Breakdown of Cooperation Milestones

Phase 1: Initial Evaluation & Consultation

  • Fee: $0 USD (Free of Charge)
  • Scope: General product inquiries, basic market feasibility analysis, and preliminary Q&A.
  • Our Policy: If your project is in the conceptual stage and does not require deep technical coordination with factories or physical travel, I do not charge any upfront fees. I am happy to help you evaluate the initial viability of your project for free.

Phase 2: Deep Sourcing & Factory Engagement

  • Fee: $200 USD (Advanced Sourcing & Commitment Deposit)
  • When it applies: Required when the project proceeds to detailed technical discussions with manufacturers, customized sample arrangements, or when I need to physically visit factories/markets on your behalf.
  • Our Policy:
    • 100% Creditable: This $200 USD is NOT an extra charge. Once you place an official order, this amount will be fully credited (deducted) from your final service fee.
    • Non-Refundable Condition: If the project is canceled or does not result in an order, this fee will be retained as compensation for my time, labor, and local travel expenses incurred during the sourcing process.

Phase 3: Order Confirmation & Milestone Payments

Once the final supplier is selected and the formal Proforma Invoice (PI) is signed, my standard service fee (calculated as a fixed percentage [2%-5%] of the total order value) will be collected in sync with your factory payment milestones:

  • Milestone 1: Factory Deposit & Agent AlignmentWhen you transfer the initial deposit to the factory (e.g., a standard 30% deposit), you will simultaneously pay the same percentage (e.g., 30%) of my total service fee.
    • Minimum Threshold: The minimum payment for this milestone is $200 USD. (Note: If you have already paid the $200 Phase 2 deposit, it will automatically cover this baseline). If the proportional percentage of my fee is less than $200, it will be rounded up to $200 for this milestone, and the difference will be adjusted in the final payment.
  • Milestone 2: Final Inspection & Balance ReleaseAfter production is complete, I will conduct a thorough quality inspection and send you a detailed inspection report (photos/videos). Upon your approval of the quality and prior to the container loading/shipment, the remaining balance of the factory payment and my remaining service fee shall be cleared.
