1. QC Begins Before Goods Even Reach the Warehouse

First, require supplier pre-inspection at the factory. Before the goods are shipped to our warehouse, we always advise sellers to set clear expectations with their factories. Make sure suppliers inspect the batch before dispatching it. Catching obvious issues—like loose threads, heavy scratches, or missing accessories—at the factory level saves enormous communication and shipping costs later on.

Second, keep a “Golden Sample” in my warehouse. Anyone who has sourced products from China knows this reality: some factories produce amazing samples or great first batches, but as soon as your product goes viral and order volume scales up, they start cutting corners on the second or third batch.

For high-ticket items or long-running winning products, we require sellers to keep a standard sample—a Golden Sample—stored directly in our warehouse. Every time a new shipment arrives from the factory, my staff compares the new inventory against the Golden Sample—checking fabric, material quality, and weight. If a factory tries to swap out quality, they won’t make it past our first line of defense.


2. Inbound QC: Two-Tier Inspection & Double Verification

Once goods arrive at our warehouse, they enter the most critical physical interception phase. To balance efficiency and cost, we divide inbound inspection into two clear tiers:

Free Basic Inspection

As long as your inventory arrives at our warehouse, basic inspection is 100% FREE. We count the items piece by piece, verify that the colors and specifications match your orders, and check for any outer packaging damage. This single step eliminates the vast majority of customer complaints caused by “wrong item shipped.”

Advanced / Complex Inspection (Low Service Fee)

If your products require specialized attention—such as checking apparel stitching, zippers, or powering on electronic devices to test functionality—these labor-intensive checks are available for a small fee of $0.2 to $0.5 per item. Offering this as an optional advanced service ensures you only pay for what you actually need, keeping your overhead as lean as possible.

⚠️ Our Unboxing Policy

A quick word on unboxing: many products come with single-use shrink wrap or tamper-evident anti-counterfeit packaging. To ensure your end customers receive 100% brand-new, unopened products, we default to NOT opening sealed packaging unless you explicitly authorize us in writing to open and inspect them.

Crucial Detail: Removing “Factory Traces” (De-branding)

The biggest mistake in dropshipping is exposing your sourcing background to the end customer. During inbound unboxing and inspection, our staff is strictly instructed to clean out and strip away all Chinese supplier business cards, WeChat QR codes, 1688/Taobao purchase receipts, and Chinese stickers. When your buyer opens their package, they see only a clean, professional international brand experience.


3. Outbound QC: The Final Pre-Shipment Inspection

Some damage can occur during warehouse handling or storage, so inbound QC alone isn’t enough. Before a package is sealed, labeled with international shipping tags, and sent to the airport, we perform a mandatory second inspection.

100% Pre-Shipment Re-Check Before placing an item into a poly mailer or corrugated box, our packing staff checks each item one last time: verifying no new scuffs or dust, ensuring the SKU label matches the order 100%, and confirming that any custom inserts, thank-you cards, or free gifts are included.

Defect Interception & “Claims on Your Behalf” If we spot a defective item during outbound inspection, we intercept it immediately—we never gamble by shipping flawed goods to your customers. More importantly, you don’t have to stay up across time zones to argue with Chinese factories. When a defective item is found, my team and I handle return and replacement claims directly with the supplier on your behalf, resolving the headache right here in China.

Fragile Item Reinforcement & Drop Testing For fragile goods like lighting fixtures, glassware, or delicate electronics, we perform a simple 1-meter drop test before shipping, reinforcing packaging with extra bubble wrap and corner protectors. Cross-border transit involves over a dozen handlings; without robust packaging, even the best quality control is wasted.

  • Plug & Voltage Specs: Is your target market US, EU, or UK? Never ship the wrong plug type.
  • Manual Language: Does the package contain a standard English user manual? (Avoid Chinese-only manuals at all costs).
  • Variants & Sizing: Have apparel and footwear sizes been properly converted to US/EU sizing standards?
  • Visual Defect Proof: Can your warehouse immediately provide high-resolution photos or videos of defective items for your records?
